Privacy notice
1. Introduction
This Privacy Notice explains how the European Neuroscience Institute (ENI-G), a Joint Initiative of the University Medical Center Göttingen and the Max Planck Institute for Multidisciplinary Sciences, processes your personal data when you register for the Symposium “Cells, Circuits, and Cognition, Celebrating 25 years of ENI-G research” (25–26 June 2026, Göttingen, Germany). We are committed to complying with the General Data Protection Regulation (GDPR) and German data protection laws.
2. Purpose of Data Processing
Your personal data will be processed solely for the organization and execution of the symposium. Specifically, we use it to:
- Manage your registration and attendance.
- Prepare the symposium program (including poster sessions).
- Communicate essential event information (e.g., schedule updates, venue details).
- Ensure a seamless experience for all participants.
No data will be used for marketing, research, or any purpose unrelated to the symposium.
3. Legal Basis for Processing
We process your data and need your consent for it according to (Article 6(1)(a) GDPR, as it is necessary for the efficient organization of the event. This includes managing attendee logistics, program coordination, and ensuring a safe and functional symposium environment.
4. Data We Collect
The following data is required for registration:
- Name (for identification and program inclusion).
- Nametag (your name with titles, as will be written on your nametag).
- Affiliation (optional; e.g., university, institution; for program and networking).
- Email address (for event communication and access to materials).
- Days of attendance (to manage venue capacity and resources).
- Poster participation (yes/no; to organize poster sessions).
- Poster title (if applicable; only collected if you confirm poster participation).
Note: All fields marked as "required" are necessary for your registration.
5. Data Storage and Deletion
- Storage period: Your data will be retained only for the duration of the symposium and for 30 days afterward to address any post-event queries (e.g., refunds, follow-up communications).
- Deletion date: All data will be permanently deleted 30 days after the event.
- No retention: Data will be deleted by 26 July 2026, unless we are legally required to retain it for a longer period (e.g. for tax or audit purposes).
6. Your Data Protection Rights
Under GDPR, you have the following rights:
- Access: Request a copy of your data (Art. 15 GDPR).
- Rectification: Correct inaccurate information (Art. 16 GDPR).
- Erasure: Request deletion of your data (we will comply within 30 days, unless legally required to retain it) (Art. 17 GDPR).
- Restriction: Limit processing of your data (Art 18 GDPR).
- Objection: Object to processing based on legitimate interest (we will cease processing if valid) (Art. 21 GDPR).
- Data portability: Receive your data in a structured format (Art 20 GDPR).

- Registration platform: The symposium uses a dedicated local installation of Indico (hosted on GWDG servers in Göttingen).

- No sharing: Your data will not be shared with third parties (e.g., advertisers, external organizations).
- Security: Data is stored on secure, on-premise servers in Göttingen (Germany) with encryption and access controls.
- No international transfers: All processing occurs within the European Economic Area (EEA).
